customer acquisition cost for small business · August 4, 2026
The Marketing Metric That Belongs in Your Bookkeeping Review
Marketing reports are designed to show movement: impressions, clicks, leads, and conversions. Bookkeeping records what that movement cost and what customers actually paid. When the two systems never meet, a busy campaign can receive praise while quietly reducing profit.
Calculate the complete acquisition cost
Start with all costs used to win new customers during the period. Include advertising, freelance design, agency fees, landing-page software, sales commissions, promotional discounts, and a reasonable share of campaign-specific tools. Divide that total by the number of new paying customers—not leads and not free sign-ups.
The result is customer acquisition cost, often shortened to CAC. It will not be perfect, especially when customers arrive through several channels, but a consistent method is more valuable than a complicated calculation performed once. Label unusual launches so they do not distort your normal baseline.
Compare cost with gross profit
Revenue can make a weak campaign look strong. If a customer pays 100 but fulfilling the order costs 70, only 30 is available to recover marketing cost and support the business. Compare CAC with expected gross profit over a realistic customer lifetime.
Also ask how long recovery takes. Spending 25 to acquire 60 of annual gross profit may be attractive, but not if the first 25 arrives twelve months later and cash is already tight. Payback period connects marketing ambition to cash-flow reality.
Use invoices as the final truth
A lead form does not pay a bill. Connect campaign labels or referral sources to customer records and issued invoices wherever practical. Then review which channels produce customers who buy, pay on time, return, and require a reasonable level of support.
The best source is not always the one with the cheapest lead. A channel that attracts fewer but better-fit customers may create higher margins and fewer late invoices. Marketing becomes more human when the numbers describe the quality of relationships, not merely the volume of attention.
Choose one campaign from last month and follow it all the way from spend to paid invoices. The gap between the dashboard and the bank account contains your next useful question.
